Group Event Agreement Terms & Conditions

This Event Agreement between Putting World Scottsdale and the Client Named in their quote is subject to the Event Agreement Terms and Conditions listed below.
Event Confirmation
Your event will be confirmed upon receipt of your deposit equal to twenty-five percent (25%) of the Estimated Event Cost as set forth in this agreement, a signed Event Agreement and your menu selections. All rentals, food and beverage are subject to applicable tax. Food, beverage and select services are subject to a mandatory 20% service charge.
Final Guest Count
Your final guest count and Guest List must be confirmed with your of Putting World Sales contact at least 72 hours prior to the event. Should your guest count increase within 72 hours of the event without prior notice, Putting World Scottsdale will accommodate, if possible, based on availability, and a $10.00 per person surcharge would be applied to your final invoice for the additional guests.
Final Payment
Final payment equal to the Estimated Total Event Cost as set forth in this event agreement less deposit paid is due in full at the conclusion of your event. The remaining balance will be presented to the client at the conclusion of the event for final payment that lists the final charges due and owing. The client is responsible for full payment of the final charges listed. If final charges are not paid to Putting World Scottsdale within 24 hours following the end time of the event as defined herein, the Client’s credit card will be charged unless other arrangements are approved by General Manager. 
Event Time & Duration
The event shall begin promptly and the event space shall be vacated by the Client at the contracted Event End Time. Event space time will not be extended if event guests arrive late. Additional fees may apply if we are able to accommodate an extension on event time. Extension of the event space, food, and beverage is subject to space availability and the client will be responsible for any additional charges. Any additional time for set-up or breakdown must be approved by Putting World Scottsdale.  
Food & Beverage
Only food and beverage purchased at Putting World Scottsdale may be consumed on site. Buffet quantities are prepared and served based on the final guest count provided 72 hours prior to the event. Event food and beverage cannot be packaged “to-go” and must be consumed on-site. Unused drink tickets are non-refundable.
Alcoholic Beverages
Putting World Scottsdale is responsible for the sale and service of alcoholic beverages as regulated by State Law. It is the policy of Putting World Scottsdale to serve alcohol in a responsible manner. Putting World Scottsdale will fully comply with all alcoholic beverage control laws including, without limitation:
  1. requesting proper legal identification of any person of questionable age;
  2. refusing service of any alcoholic beverages to any person or persons who are underage or cannot produce upon request, proper identification, as solely determine by Putting World Scottsdale; and
  3. refusing service of any alcoholic beverage to any person or persons, who, in the sole and absolute discretions of Putting World Scottsdale, appears to be intoxicated or under the influence of mind altering substance.
If minors attending the Event are observed consuming alcoholic beverages on the venue premises, Putting World Scottsdale, in its sole and absolute discretion, shall have the right to immediately terminate the event without any further obligation to the Client or any of the guests of the event. Please note that all alcoholic beverages served at the venue must be provided by Putting World Scottsdale and dispensed by Putting World Scottsdale staff only. Upon request, Putting World Scottsdale can offer to secure a cab or ride service for any guest who is intoxicated.
Tax & Service Charge
All food, beverage and additional service prices provided by Putting World Scottsdale are subject to a service charge of 20% which will be included in the estimated costs and final account of charges. The Client is responsible for the payment of all state sales tax incurred in connection with the event. Food, Beverage, Service Charge and Room Fees are Taxable. If the Client is a tax exempt organization, please provide Putting World Scottsdale with proof of Sales and Use Tax Exemption provided by the Client’s state, which must be presented to Putting World Scottsdale at the time of event agreement signing. If this Certificate is not returned along with the executed Event Agreement, sales tax will be charged.
Cancellation/Reschedule & Non-Refundable Deposit Schedule
Client may cancel this event agreement only by written notice to the General Manager or Director of Sales of the venue.  Once a deposit is made, it is non-refundable.  If you decide to reschedule more than 30 days prior to the event, then your event deposit may be applied for a future event date within six (6) months of the original schedule date. Any deposit not used within six (6) months of the original booking will be forfeited. If the Event is cancelled or rescheduled less than thirty (30) days prior to the event date, the full Deposit shall be forfeited by the Client and retained by Putting World Scottsdale. If the Event is cancelled or rescheduled less than (7) days prior to the event, then the Client is responsible for the contracted event agreement amount and any applicable catering minimums. If you decide to reschedule, the above conditions may apply or client may be charged a percentage of total event cost, based on re-rental of event space previously reserved by client and any additional costs incurred. 
Insurance
Client and Putting World will, at its own cost and expense, obtain and maintain in full force and effect, with financially sound and reputable insurer having A.M. Best ratings of at least A (VII) or better, liability insurance to cover its obligations under this Agreement. Upon execution of the Agreement and before commencement of any services, Putting World reserves the right ot require the client to provide a certificate of insurance evidencing the following coverages and amount with such insurers:
  1. General Liability Insurance with a minimum of One Million Dollars ($1,000,000) per occurrence;
  2. Worker’s Compensation Insurance not less than the statutory limits for the state of Arizona;
  3. Automobile Liability Insurance in an amount not less than One Million Dollars ($1,000,000) per occurrence combined single limit for personal injury, including death, and property damage. The certificate will name Putting World Global, LLC and Putting World Scottsdale as additional insureds. Upon written request Putting World will provide a certificate naming Client as additional insured. 
Applicable Law
This Agreement shall be governed by the internal laws of the State of Arizona, without regard to the conflicts of law provisions thereof, and each party irrevocably submits themselves to the jurisdiction of the State Courts of Arizona located in Maricopa County, Arizona and the United States Federal District Court. Putting World Scottsdale is unable to guarantee any changes to the Event Agreement, including but not limit to event itinerary, food or beverage options within 72 hours of the event date. The signatory below is either the Client or one authorized to enter into this Event Agreement on behalf of the Client. Please initial each page, sign and return a copy of this Agreement. This Agreement will constitute a binding contract between the parties. There are no other representations, implied or oral, between Putting World and Client with respect to the Agreement.
